International Travel Registry for Students

What is the International Travel Registry for Students (ITRS)?

The ITRS is housed within "Via-TRM", a confidential and secure online database for maintaining essential travel information for all students traveling internationally in association with UNL. The ITRS is used primarily for non-credit UNL-sponsored travel. Via-TRM and the ITRS enable the University to:

  • provide resources to travelers and enroll them in mandatory international insurance to maximize their safety and health while abroad (non-U.S. citizens are NOT covered in their home country)
  • coordinate the University's response in the event of an emergency
  • ensure an accurate and complete record of international travel at UNL and by college.

While the Global Experiences Office administers the ITRS, “approval” of the student’s registration serves only as an acknowledgement that the GEO has received the registration, not an endorsement of the travel plans.

Chancellor’s Policy Memorandum

In accordance with the Chancellor’s Policy Memorandum 2013-10 on Education Abroad and International Student Travel Sponsored by the University, the University of Nebraska-Lincoln (UNL) requires that all student international travel sponsored by UNL (in name or through funding, coordination, and/or faculty/staff advising) be registered with the UNL Education Abroad Office (EAO).

Who Must Register?

All undergraduate, graduate, and professional students are required to register their non-credit university-sponsored international travel no later than six weeks prior to their expected departure date.

In most cases, students participating in for-credit or UNL-administered study, internship, research, or service learning programs (whether group or individual) will complete a separate MyWorld application administered by the Global Experiences Office, and therefore need not complete a registration in the ITRS. For more information based on student status, see the tabs below. If necessary, the GEO will redirect the student to the appropriate process.

Important Note for Groups: If a UNL unit is organizing and/or leading group travel that combines undergraduate and graduate students and is credit-optional, the entire group will receive instructions from Global Experiences to complete the same registration or application.

Registration Information

Undergraduate students

Undergraduate students are strongly encouraged to pursue academic credit for all study, research, internship, and service learning experiences. There are many benefits to earning credit and to verifying eligibility for credit prior to departure. Undergraduates must complete the application process with the GEO for all for-credit experiences including those not listed in the Via-TRM program search. If earning credit in conjunction with their University-sponsored travel is not possible, they should complete the travel registration process using ITRS.

Graduate and professional students

Graduate and professional students must complete the application process with the GEO for all for-credit study experiences, including those not listed in the Via-TRM program search. However, they should complete the ITRS travel registration process for research, internship, and service learning experiences, whether for-credit or non-credit. Graduate students traveling in the capacity of an employee of UNL should also adhere to any guidance or policies associated with employee international travel.

International students

International students need to register using the ITRS process if traveling primarily for University purposes or with a UNL group or employee, including when traveling to their home country. If an international student plans to take an academic course for transfer credit while visiting their home country, they need not complete a registration using ITRS, but should work with the International Student and Scholar Office as usual.

Community members

Community members (i.e., non-student leaders and non-student participants) need to register using the ITRS process if they are traveling with a group that includes UNL students. As part of the ITRS process, community members are required to describe their affiliation to and purpose of traveling with UNL, as well as indicate the UNL employee organizing, sponsoring and/or funding their international travel. Additionally, community members will be enrolled in mandatory AIG Travel Guard coverage.

Group travel

Students and community members traveling in groups of two or more will have separate registrations created for them. This process is facilitated by the Global Experiences Office, and must be requested by the coordinator or organizer of the program at least six weeks prior to departure.
